FOAS Board Meeting Minutes
6/26/09 12:15 p.m.

Present at the meeting: Cindy Bennett, Carolyn Waterbury-Tieman, Verity Mathews, Tracy Lovan, Rhonda Caldwell, Jennifer Gorenia, Kim Kearns, Mary Crowley-Schmidt, Kerri Peterson, Grace Weimann, and Joy Henderson.

  1. Call to order at 12:18
  2. Minutes – Minutes approved for 5/18/2009. Motion to approve from Rhonda Caldwell and seconded by Kim Kearns.
  3. Treasurer’s Report – Tracy Lovan, reviewed current status, as a result of computer problems no specific report. Current balance in Money Market account is 117,023.15 current balance in checking account is $41,784.99.
  4. Introductions of officers present. Discussion of various positions and new positions to coordinate between Lafayette and SCAPA Bluegrass. Discussion of arts areas liaisons and importance of keeping regular contact with arts teachers. Keeping parents informed on a regular basis (monthly) re rehearsals, needs, performances etc. and to send e-mail to majors and minors in their arts areas to keep them up to date with what is going on. Discussion of putting calendar on SCAPA website for easier access and other issues related to website.
  5. Productions. FOAS has rights for Peter Pan and working on rights for A Child Shall Lead. We have 6 productions this year: Lost in Yonkers (High School), Peter Pan (Bluegrass), Amadeus (High School at Downtown Arts Center) Dance SCAPA (Bluegrass and High School), A Child Shall Lead (Bluegrass at Downtown Arts Centre) (High School) and then Joseph and Technicolor Dreamcoat (High School). Discussion of role of individual who has to deal with Opera House negotiations etc. This is within the job description of the of Arts Facilitator coordinator. Motion to reinstate Arts Facilitator to be involved in continuity of coordination of activities and negotiations with the Opera House. Motion by Cindy Bennett seconded by Rhonda Caldwell.
  6. Box Tops: Jennifer Brown to take charge of Box Tops. Each home room teacher and have contests monthly. Will make containers for each room and will make announcements over morning news and will announce in newsletter.
  7. Fundraising
    Innisbrook: This will start Aug. 18th and go through September 9th with delivery of purchases in October. Displays at Ice Cream Social (Aug 9th), Lafayette Welcome Back Reception (Aug 10th).and Back to School Picnic (Aug 30th). Discussion of Amazon wrapping fund raiser and how to coordinate parent volunteers with this. Jennifer Gorena to contact arts reps to help recruit parents to help with this. Cindy Bennett discussed fund raising cards. Each student will receive a packet with Expedia, Subway, Kroger card information.
  8. Teacher Grants for 2008/2009 school year. Cindy Bennett reviewed what had been provided to teachers as part of the teacher grant process. This information will be included in the electronic newsletter and posted on school bulletin board. The approximate total this year was $11,708 raised and given from FOAS for in school use purchases to help teachers in each area of the school, academic as well as the arts areas. Items purchased were as follows: Gift bags for incoming 4th Grade Shadow Day ;Writing inspiration/educational books, Instruction books for connecting writing with math; Firstinmath.com; Brainpop.com; TI-17 Overheard Calculator; Accelerated Reader Update; Video Production light and battery kits; Yamaha Silent Electric cello; Smart Music- electronic; Piano Recital venues, flowers, and programs; Cineline productions filming recitals for CH 13; Tuxedo Case for Tuba; Four pieces of music; Kustom -Profile 11 Portable PA System for the school; Document cameras; Interwrite tablets; Marley Floor for dance; Art Field trip to Louisville Glassworks Studio.
  9. Arts Facilitator – Carolyn Waterbury-Tieman.
    • Carolyn has acquired Plaques for arts awards (Don Trivette and Renaissance) which will be posted at Bluegrass. There will be a small plaque above the larger plaque to describe the nature of the award.
    • Bulletin Board outside teacher workroom – Carolyn suggested that this probably needs to be changed on a more frequent basis. She is going to take current information down and post more recent information. Need to post meeting minutes on this. Also discussed updating squares on the wall down towards the ballet room (across from the water fountain).
    • 4th of July Parade. Need to be at Herald Leader parking lot at 12:00. Parade starts at 2:00. Students and parents will be wearing costumes associated with Peter Pan or SCAPA wear. Carolyn to talk to Christy Pellegrino about obtaining SCAPA wear for anyone who needs it.
    • Ms. Little has asked for 2 matching podiums for multi-purpose room. Discussion of having parents assist with making these and need to coordinate this with new sound system.
    • Working on arranging the visit of Karl Paulnack from Boston Conservatory and the possibility of coordinating his visit to SCAPA with other activities in town. Carolyn to coordinate with Jim Clark from Lexarts. Carolyn Waterbury Tieman and Cindy Bennett to meet with Jim Clark.
    • Art Lease will strictly be visual arts. No other arts areas involved this upcoming school year. Art Lease in November in the multipurpose room and then in April 16th at the Gallery Hop in the rehearsal hall at the Downtown Arts Center.
  10. President’s Report – Cindy reported she has had many phone calls supporting her over the upcoming school year.
  11. Principal/Faculty Report: Marilyn Cunningham – present.
  12. Announcement of Next Meeting: Meeting set for July Friday 17th at 12:15 Puccini’s, Chevy Chase.
