FOAS Board Meeting Minutes

9/16/08 6:30 p.m.

Present at the meeting: Kathryn Warnecke Ryan, Joy Henderson, Cindy Bennett, Carolyn Waterbury-Tieman, Marilyn Cunningham, Lynsey Sugarman, Terri McGraw, Annaliese Bratcher, Rita Polzin, Kim Kearns, Jennifer Gorena, Sheila Henault, Anna Day, KimLee, Suzetta Yates, Kallie Theodore-Sawaya, Holly Crovo, Beverly Cox, Nancy Kline, Raul Heredia, and Jennifer Adkins.

  1. Call to order at 6:40 pm.
  2. Minutes - approval of minutes from August 2008 was postponed to the September meeting although August minutes were included in the September Lines and Notes newsletter.
  3. Special Report on Back to School Picnic - Terri McGraw presented a recap of her work for the Back to School Picnic Silent Auction and encouraged the Board to set the date for the Picnic as early as possible, before school is out, and make sure that all are aware of it so auction items can be solicited over the summer.
  4. President's Report - While meeting to formulate the production budget for SCAPA LHS production of 12 Angry Men/Women, Lynsey Sugarman, Paul Thomas and JoAnne Sykes reported a lack of audiences for the school shows. The President realized that grant money might be available from the Fayette County Bar Foundation but the application deadline was coming in five days, on September 15, 2008. The producers and Mr. Thomas arrived at the concept of preparing a grant application in order to enable FOAS to provide access to the show without charge for all Lafayette freshman government classes and also, perhaps, for transportation subsidies for schools with financially subsidized students. Unfortunately, grant decisions will not be made until December 15, 2008, after the productions. Therefore the President presented the proposed production budget showing a loss projected to result from these subsidies and sought FOAS's decision on funding the ticket and transportation subsidies in the event the grant, in whole or in part, is not given or, alternatively, instruction to withdraw the grant that had been submitted with a request for $3,000 in funding. Upon Motion made and seconded, the members present unanimously approved the grant application, the production budget, and the payment of the subsidies in the event the grant is not received.
  5. Treasurer's Report - The Silent Auction for the Back to School Picnic made $3,095, more than $1,000 more than projected for the 2008-09 Budget. Checking account balance was $35,323.79 and the money market account is $106,547.43.
  6. Principal/Faculty Report - Marilyn Cunningham reported that Bob Price will once again conduct the Coffee and Tea sales fundraiser and gave his contact information. The Coffee and Tea fundraise will run from September 30th to October 15th with delivery of orders set for November 18th. This is a middle school only fundraiser. Marilynn also reported that the first Family School Conversations meeting which preceded this FOAS meeting and was presented by Carolyn Waterbury-Tieman was very well-received.
  7. Productions Report - Willy Wonka cast is set - double casting for all speaking roles. Over 90 students auditioned! Parent meetings are set for next week.
  8. Committee reports - Innisbrook sales are over and Kim Kearns is working on processing the packets.
  9. Arts Facilitator - Carolyn Waterbury-Tieman
  10. Old Business - Jennifer Gorena graciously volunteered to take charge of the Amazon.com gift-wrapping fundraiser opportunity and the members voted to approve our participation in this project.
  11. Announcement of Next Meeting: Tuesday October 21 at 6:30 pm in the Library.
